Workforce directory

The register every other people screen points at

Employees is the directory: browse, filter, and create people, with summary charts for demographics, tenure, skills, and org. New joiners start here; they are not invented on a project.

The job of this console

Find someone, open their record, create a joiner, or deactivate with the lifecycle the org uses. Charts are filters into the same list, not a census you type into.

Seat at the table

HR administrators create and edit. Managers usually see their span. Employees do not browse salary fields they are not allowed to see — masking still applies.

The working rhythm

Search or filter, open a row, edit the profile or start onboarding / offboarding from the paths the org enabled. Do not duplicate a person to fix a spelling — edit the existing Employee.

Moments that bring you here

New hire day. A duplicate email. Org chart looking empty because the manager field is blank. Before payroll, to confirm active status.

Employee is the people source
Projects, timesheets, and leave all hang off this register. Do not create shadow people lists in spreadsheets the product already stores.

Common mistakes

⚠️
Creating duplicate accounts
Search before CREATE — duplicate email addresses break SSO sign-in and split timesheet history.
⚠️
Leaving inactive users as Active
Inactive status preserves audit trail while revoking access — prefer deactivate over delete.
⚠️
Ignoring skills tags
Skills feed capacity and staffing reports in Project module — complete Skills step in wizard.

FAQ

What's the difference between quick form and wizard?

Quick form captures essentials; wizard adds access, org placement, and skills required for Tracopus permissions.

Can managers create employees?

Usually HR-only — managers request headcount via HR ticket; confirm your org policy.

Do charts update in real time?

Register filters refresh charts immediately; headcount trend may cache briefly.

How do I offboard someone?

Set status Inactive, revoke access in wizard Security step, confirm no open timesheet weeks.

Workflows

Create employee
Create → Wizard → complete five steps → submit → employee appears as Active.
Find someone
Filter list by name → click row → profile opens at /hrms/profile/:employeeId.

Tips & best practices

Tip: Use Active chip before exports or headcount reviews — inactive records remain searchable under Inactive.
